As the Payroll Administrator at HighRoads, you will play a critical role in managing the US payroll process and support the Human Resources (HR) function within the organization. You will be responsible for managing all payroll-related tasks, ensuring timely and accurate processing of payroll for employees across the United States. In addition, this role will support various HR functions including benefits administration, employee onboarding, and compliance.

Our ideal candidate will have a strong understanding of payroll regulations, HR processes, and the ability to handle confidential information with discretion.

Details About this Role:

  • Accurately process semi-monthly payroll for US-based employees, ensuring compliance with federal, state, and local tax regulations
  • Manage employee data related to payroll, including deductions, bonuses, and commissions
  • Ensure proper filing of payroll taxes (federal, state, and local), and handle tax-related questions or issues
  • Leverage the payroll system to prepare and distribute W-2s, 1099s, and other payroll-related documents as required by law
  • Reconcile payroll discrepancies by collecting and analyzing information
  • Administer time-tracking systems, reviewing and approving timesheets to ensure proper wage payments
  • Ensure compliance with wage laws (FLSA) and employment regulations
  • Collaborate with the finance department to ensure proper general ledger accounting of payroll expenses
  • Assist with audits, both internal and external, by providing payroll information and documentation
  • Have a willingness to develop new skills through training and development
  • Assist with the onboarding of new employees, including collecting necessary paperwork and ensuring employees are set up in payroll and benefits systems
  • Support benefits administration, including enrolments, changes and terminations, ensuring accurate deductions and compliance with policies
  • Manage employee leave requests (e.g., FMLA, parental leave), and track absences and paid time off (PTO)
  • Ensure compliance with labor laws and company policies regarding HR practices and payroll
  • Maintain confidentiality of sensitive employee information, including salary, benefits and disciplinary matters
  • Assist with employee inquiries regarding payroll, benefits and other HR-related matters

Essential Knowledge, Skills, and Abilities

  • Associate degree in accounting, finance, HR or related field preferred, or equivalent work experience
  • Minimum of 1-2 years of experience in payroll processing, with experience handling multi-state payroll preferred
  • In-depth knowledge of payroll processing, tax regulations, and wage laws in the United States
  • Familiarity with HR principles and practices, including benefits administration and employee lifecycle processes
  • Experience with payroll software (e.g., ADP, Paychex, or similar platforms)
  • Strong attention to detail and high level of accuracy
  • Excellent organizational and time management skills
  • Strong problem solving skills
  • Ability to handle confidential and sensitive information with professionalism and discretion
  • Strong communication and interpersonal skills
  • Proficiency in MS Office, especially Excel
